VerifyDoc Terms & Conditions

These Terms and Conditions govern access to and use of VerifyDoc, including all websites, applications, APIs, and related services that form the platform.

By accessing or using VerifyDoc, you agree to be bound by these Terms. If you do not agree, you must discontinue use immediately.

1. Introduction

VerifyDoc, also referred to as “VerifyDoc”, “we”, “us”, and “our”, operates document verification infrastructure for issuers, verifiers, and related enterprise workflows.

These Terms apply to access to the public website, customer dashboards, APIs, hosted verification pages, certificates of authenticity, and any supporting services released under the VerifyDoc brand.

2. Definitions

Issuer
Entity creating and registering documents on VerifyDoc.
Verifier
Any party scanning or verifying a document.
Document Record
The digital record stored on VerifyDoc.
Verification Page
Public page confirming authenticity.
Certificate of Authenticity (CoA)
Output generated upon verification.
Verification Event
Any scan or access to a document.
Usage Data
Aggregated, anonymized analytics data.

3. Scope of Service

VerifyDoc provides document verification infrastructure.

VerifyDoc verifies the integrity and authenticity of a document relative to its registered record. It does not verify the factual accuracy of the document’s contents.

  • VerifyDoc does not create documents.
  • VerifyDoc does not validate legal enforceability.
  • VerifyDoc does not guarantee truthfulness of content.

4. User Roles & Responsibilities

4.1 Issuers

  • Issuers are responsible for the accuracy of document content.
  • Issuers must use the platform lawfully and within applicable regulation.
  • Issuers remain responsible for maintaining control of issued documents.

4.2 Verifiers

  • Verifiers use the platform at their own discretion.
  • Verifiers must compare document details with the Verification Page.

4.3 Platform Responsibility

  • VerifyDoc maintains the verification infrastructure.
  • VerifyDoc is responsible for the integrity of stored records.

5. Verification & Limitations

5.1 Integrity vs Truth

VerifyDoc confirms that a document matches the original issued record. It does not confirm that the underlying content is factually correct.

5.2 QR Code Limitation

A QR code links to a verification record only.

  • document title
  • recipient
  • issuer
  • date
  • preview, if available

6. Fraud & Misuse

Users may not

  • reuse QR codes on unrelated documents
  • misrepresent verification status
  • create fraudulent records

VerifyDoc may

  • flag suspicious activity
  • revoke verification records
  • suspend accounts

7. Document Status

Each document may carry one of the following statuses:

  • Active
  • Revoked
  • Expired

The Verification Page is the sole source of truth for document status.

8. Analytics & Data Usage

VerifyDoc may collect

  • verification timestamps
  • geographic region at country level
  • device type such as mobile or desktop
  • scan frequency

Analytics may be used for

  • fraud detection
  • service improvement
  • issuer insights in paid features

No personally identifiable information of verifiers is disclosed to issuers.

9. Subscriptions & Payments

9.1 Free Tier

Verification is free for all verifiers.

9.2 Paid Features (Issuer Only)

  • analytics dashboard
  • fraud alerts
  • scan history insights
  • advanced verification logs

Issuers pay for enhanced functionality. Verification remains free to support trust distribution.

10. Intellectual Property

All VerifyDoc technology, branding, and systems remain the property of VerifyDoc.

  • Users may not reverse engineer the platform.
  • Users may not replicate core platform functionality.
  • Users may not resell the service without authorization.

11. Data Ownership

  • Issuers retain ownership of their documents.
  • VerifyDoc owns platform-generated analytics and infrastructure outputs.

12. Termination

VerifyDoc may suspend or terminate access for fraud, misuse, or violation of these Terms.

Upon termination, access is revoked and records may be retained where required for compliance.

13. Limitation of Liability

To the fullest extent permitted by law, VerifyDoc shall not be liable for:

  • fraudulent use of documents
  • reliance on document content
  • indirect, incidental, or consequential damages

VerifyDoc’s aggregate liability is limited to the amount paid by the relevant user in the preceding twelve months.

14. Governing Law

These Terms are governed by the laws applicable in the operational region of the relevant workspace or service relationship, subject to any mandatory local law that overrides this allocation.

15. Final Provision

By using VerifyDoc, you acknowledge that trust is established through verification, not assumption.
